Human Health Manual Pty Ltd ("we", "us", or "our") operates the web platform at openminerals.ai and related mobile applications (together, the "Services"). This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use our Services.

By creating an account or using the Services, you acknowledge that you have read this Privacy Policy. If you use the Services on behalf of an organisation, you represent that you have authority to accept this policy on its behalf.

We are an Australian company providing AI-assisted maintenance, inspection, and operational tools primarily for business and industrial users.

2. Information we collect

Account and profile information

  • Name, email address, and password (or credentials from Sign in with Apple)
  • Organisation name, role, and team membership when you join or create a company account
  • Application and onboarding details you submit through our site readiness portal

Content you provide

  • Messages, prompts, and files you send to our AI assistant
  • Inspection records, work orders, asset data, photos, and documents you upload
  • Voice input when you use voice features (processed to generate text responses)

Device and usage information

  • Device type, operating system, app version, and general diagnostic logs
  • IP address, browser type, and pages or features accessed
  • Subscription and entitlement status (trial dates, purchase receipts via Apple)
  • Marketing attribution data (such as UTM parameters) when you arrive from a campaign link

Permissions on mobile devices

The iOS app may request access to your camera, photo library, microphone, and notifications so you can capture inspections, attach images, use voice input, and receive alerts. You can manage these permissions in your device Settings. We only access these features when you choose to use them.

  • Provide, operate, and improve the Services
  • Authenticate users and manage accounts, trials, and subscriptions
  • Process site readiness applications and onboarding workflows
  • Generate AI-assisted responses, summaries, and operational insights
  • Send service-related emails (account, security, billing, and onboarding updates)
  • Monitor performance, prevent fraud, and maintain security
  • Comply with legal obligations and enforce our Terms of Service
  • With your consent or as permitted by law, send product updates and marketing communications

4. AI processing

When you interact with Minesite's AI features, your prompts and relevant context may be processed by our systems and third-party AI providers to generate responses. We configure these services to support our product functionality. Do not submit information you are not authorised to share, including unnecessary personal data or confidential third-party information.

If your organisation has a separate agreement with us (such as an enterprise or data processing addendum), that agreement may govern how AI processing applies to your organisation's data.

5. How we share information

We do not sell your personal information. We may share information with:

  • Service providers that help us run the Services (for example: Supabase for authentication and database hosting, cloud infrastructure, email delivery, payment processing, analytics, and AI model providers)
  • Apple when you purchase or restore an in-app subscription through the App Store
  • Stripe when you make payments on the web (we do not store full card numbers)
  • Your organisation when you join a company account — administrators may access data associated with your organisation's workspace
  • Legal and safety when required by law, to protect rights and safety, or in connection with a merger, acquisition, or asset sale

Our service providers are permitted to process information only as needed to perform services for us and are required to protect it appropriately.

6. International transfers

We and our service providers may store or process information in Australia and other countries. Where information is transferred overseas, we take reasonable steps to ensure it receives a comparable level of protection to that required under applicable privacy laws.

7. Data retention

We retain personal information for as long as your account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods may vary depending on the type of data and your organisation's settings.

8. Your rights and choices

Depending on your location, you may have rights to:

  • Access, correct, or update your personal information
  • Request deletion of your account and associated personal information
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent
  • Lodge a complaint with a privacy regulator

To exercise these rights, contact privacy@minesite.ai. We may need to verify your identity before responding. If you joined through an employer, some requests may need to be coordinated with your organisation's administrator.

You can delete your account from in-app settings where available, or by contacting support. Deleting your account does not automatically cancel an App Store subscription — manage subscriptions in your Apple ID settings.

9. Security

We use administrative, technical, and organisational measures designed to protect personal information, including encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Children

The Services are intended for business and professional use and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the "Last updated" date. Material changes may also be communicated by email or in-app notice where appropriate. Continued use of the Services after changes take effect constitutes acceptance of the updated policy.
